What you lose without it
The bookkeeper's report arrives three weeks after the month. The bank balance looks fine until the BAS and the super hit the same week. The client who owes $9k is the one you just quoted again. Margin is a number you see at tax time.
What it holds
Cash across accounts, debtors by age with the chase drafted, creditors and what is due in 7 and 30 days, sales and gross margin by month and by job or category where your books support it, and the fixed commitments (rent, loans, subscriptions) laid over the next 30 days.
What it reads from
Xero, MYOB or QuickBooks, read-only. Bank feeds through the ledger, not directly. The Board never posts, reconciles or pays anything.
What the morning check says about it
"Paid overnight: 2 invoices, $8.4k." "Invoice 0087 to Harbour Joinery is 21 days overdue; reminder drafted." "Super and BAS both fall in the week of the 28th; cash covers it with $3.1k margin."
Where a spreadsheet stops being enough
It doesn't start as one. The limit is what your ledger tracks: if jobs aren't coded, margin by job can't be shown, and the Snapshot will say so rather than promise it.
Problem: cash surprises every month · With Xero · What Xero doesn't track
