Cash surprises me every month

Why small business cash feels random even when the books are right: reports arrive late, commitments cluster, and debtors are invisible. What a weekly cash view from Xero or MYOB changes.

Short answer: your books are probably fine; you are seeing them three weeks late and not seeing the next 30 days at all. A weekly, read-only cash view with debtors, creditors and fixed commitments laid over the month removes most surprises.

Why it happens

The bookkeeper's report is monthly and historical. BAS, super, rent and a loan payment cluster in the same week. Debtors are chased when someone remembers. Margin by job is a tax-time discovery.

What works

Every Monday: cash across accounts, what is due in (with the chase drafted), what is due out in 7 and 30 days including the fixed commitments, and the tight week flagged in advance. Monthly: margin by job or category, and the accountant's pack drafted.

What Stewart Systems builds

The Money view at the Board, read-only from Xero or MYOB. It never posts to your books; your bookkeeper's job doesn't change, yours gets shorter.
