What you lose without it
A site turns a worker away for an expired ticket. A subcontractor's insurance lapsed months ago and the head contractor's lawyer finds out before you do. A lease option passes. A registration renewal goes to a spam folder. None of these are rare; they are the normal outcome of dates living in inboxes.
What it holds
One row per dated item across four groups: the business, the people, the plant, the contractors. Holder, issuer, number, start, expiry, document copy, status calculated from the date, and who gets told. A short phone form for staff to add a renewed ticket with a photo. A prequalification matrix mapping your documents to each portal or principal that asks.
What it reads from
Your documents, once, at setup; the form after that. It does not need your accounting or job software, which is why it is the usual the Register start.
What the morning check says about it
"Concreter's workers comp expired yesterday, booked on the Figtree job Thursday." "Excavator rego due in 18 days." Only the items inside their warning window, each with a link to the row and the document.
Where a spreadsheet stops being enough
Around 30 staff, multiple sites with separate managers, or an external auditor who requires a platform. Below that, a Sheet or workbook with a script is the right tool and costs nothing to run.
