Claims ageing: why a busy clinic is short of cash and what to watch by funder

Medicare, private health (HICAPS), NDIS and DVA claims each have their own rules; unworked rejects and plan end dates are where clinic cash disappears. The weekly claims view by funder.

Short answer: watch claims older than 30 days by funder, rejects by reason, and NDIS plan end dates 30 days out. Assign a person to each funder's rejects. Most clinics recover a month of cash in the first quarter of doing this.

Where it goes

Rejected Medicare claims nobody re-lodged. HICAPS reconciliation gaps. NDIS claims against a plan that ended. DVA item numbers used wrongly. A locum's provider number not linked to the location.

The weekly view

By funder: claims lodged, paid, rejected, older than 30 days, and the reject reasons. NDIS: plan budgets and end dates per participant. A named person for each funder's list.

What it reads

Practice software claims exports and the ledger, read-only. The Board summarises; the practice software still lodges.
