How it works

From first chat to a system that runs without me.

Every build follows the same playbook, so you always know what happens next and what it costs. What you get at each level →

1
SnapshotThirty minutes, in person or on a call. Within 48 hours, a one-page map of one job from first call to paid: every step, where money or time leaks, how many steps it could take, and the three changes that would matter most.
2
ProposalOne page, up to three options, fixed prices. No hourly rates.
3
AgreementSigned online before anything is built.
4
Documents and accessYou share what's on the request list and read access to your tools. The build clock starts then.
5
Build and testBuilt in your own accounts, on your real data, and tested with you before it's switched on.
6
TrainingA walkthrough for you and the team, on site or on screen, short step-by-step videos of your own setup, and a one-page guide. It runs from day one.
7
Care plan (optional)Monthly checks, fixes when one of your tools changes, and new steps added as the business grows, on a six- or twelve-month term.
Your data, your control
  • Your records are yours. Export them any time.
  • Named access only. Each person uses their own login. No shared links.
  • Read-only by default. Nothing writes to your accounts or books unless agreed in writing.
  • Drafts, not sends. Anything that leaves the business is checked by a person first.
  • History kept in your account. Google and Microsoft keep version history of your files.
  • Written terms covering what's included, what isn't, and what happens if something goes wrong.
Where it lives

Built in the tools you already pay for

Nothing is hosted with me. Each level lands in a place you own, and what that place is decides what's possible.

Google Workspace

The Register, and the documents the Board reads. Registers, price book, pipeline and deadlines are Google Sheets in your Drive, with alerts from Apps Script. The Business Brain is a folder your board reads. The Board and its morning check run in your own Claude account.

Microsoft 365

The Register and the Board in full, the Board lite. Registers and modules are Excel workbooks in OneDrive or SharePoint, with Power Automate alerts. The Business Brain lives in your OneDrive and works with Copilot or any assistant. Without a Claude seat, the Board is a live dashboard workbook rather than a written brief.

Claude (your seat, not mine)

Needed for the Board and the Operator. The Board, the morning brief and the runs need an assistant that can read your Brain and your live sheets. That's a Claude Pro plan in your own account (about A$30–34 a month, on your card), set up and tested during the build. You keep the login; I never hold your data.

Questions

Common questions

Do you have to be local?

No. I'm in Wollongong and come to you across the Illawarra, but every step works online: the Snapshot on a call, the build in your shared Drive and tools, walkthroughs on a shared screen. Clients anywhere in Australia get the same system.

Do we need new software?

No. It's built in Google Workspace or Microsoft 365 and reads from what you already use. The team keeps working the way they do.

Do we need a Claude account?

Only for the Board and the Operator. The board is installed in your own Claude account (Claude Pro, about A$30–34 a month, on your card), so it stays yours. The Register needs no AI account at all. If you don't want a Claude account, the fallback is a spreadsheet board in your own drive.

Is this AI?

Partly. AI is used where it's good: drafting, summarising and answering questions from your own information. Everything that leaves the business is checked by a person first, and nothing acts on its own until you've seen it work and agreed in writing.

What if a tool we use doesn't connect?

Most do, at least by export. If one doesn't, the Snapshot will say so, and we'll work around it or leave it out. You won't be told to switch tools.

How long does a build take?

The Register is about two weeks from signing. The Board is about four to five weeks from signing, and the Operator about four weeks on top of a running Board.

What does it cost?

Each level is a fixed price, agreed in writing after the Snapshot and based on what's being built, not hours. The Snapshot is free.

What if we stop?

You get an export of all your records. Your data is always yours.

Next step

Start with a free Snapshot.

Thirty minutes, and a one-page map of how one job runs today, where things fall through, how many steps it could take, and the three changes that would matter most. Yours to keep.
