Short answer: two rows per person, not one. First aid (HLTAID011) on a three-year cycle and CPR (HLTAID009) on an annual cycle, each with its own warning.
The mistake
Businesses record "first aid, expires 2028" and assume they are covered. Industry guidance and most insurers, safety systems and regulators expect the CPR component to be refreshed every 12 months; the three-year certificate does not carry the CPR currency with it. The gap is invisible until an incident or an audit.
What to record
Person, unit code, provider, certificate number, issue date, the date the business treats as expiry (three years for HLTAID011, twelve months for HLTAID009), a copy of the statement of attainment, and whether the person is a nominated first aider for a site or shift.
The workflow
Warnings at 90, 60 and 30 days to whoever books training, and a monthly view of who is current per site or shift. In a business with rostered first aiders (venues, studios, sites), the register feeds the roster check so a shift is never covered by someone whose CPR lapsed.
