What we build / Compliance

A register that tells you before something lapses.

Set up with your real licences, policies, tickets and dates. Kept current by a short form your crew can use from the ute. Checked against the document before anything counts.

What's in it

Six areas, one view.

Business

Contractor and trade licences, ABN and registrations, accreditations, ISO or scheme certification dates.

Insurance

Public liability, workers compensation, contract works, professional indemnity, vehicles. Insurer, policy number, cover and expiry.

Subcontractors

Each subbie's licence, insurances and workers comp, so you're not the one caught holding an expired certificate.

Crew tickets

White cards, HRWLs, first aid, EWP, confined space, working at heights. Per person, with the card itself attached.

Plant and vehicles

Registrations, plant inspections, test and tag, servicing dates.

Contracts

Leases, finance and maintenance agreements, with the notice date diarised, not just the end date.

How the status works

Every line has one honest status.

Nothing shows as current just because someone typed a date. An item is only current when the date is in the future and the certificate is attached and someone has checked the two match.

The 6am email lists everything expired, due in 30 days, and waiting to be checked. If there's nothing, it says so.

StatusWhat it means
ExpiredPast its date. Fix before the next site check.
30 daysRenew now. In the morning email.
60 / 90 daysOn the radar, time to start the renewal.
No evidenceThere's a date, but no certificate attached.
UncheckedSent in, not yet checked against the document.
CurrentIn date, attached, checked.

  • Your records are yours. Export them any time as a spreadsheet.

  • Backed up weekly, outside the main account.
  • Monitored. Access is logged and unusual access is flagged.

Questions

Common questions

Do I need new software?

No. The register runs in Google Workspace. Your team views it with their own Google login and updates it through a short form on their phone.

Who types everything in?

I do, from the documents on the request list. After handover, your crew send renewals through the form and each one is checked against the certificate before it shows as current.

Will it fill in my portal submissions?

No. It shows which documents each portal needs and whether you hold them, so your submission is a checklist. You, or the person who normally does it, still submit. The Prequalification pack includes doing one alongside you.

Does it write SWMS or safety documents?

No, deliberately. Safety documents should be written by the people doing the work, with your WHS adviser. The register records that they exist and when they were reviewed.

What if we stop?

You get a spreadsheet export of all your records. Your data is always yours.
